Privacy Policy
How the community portal handles your account, profile and uploads. Last updated August 4, 2026.
Written in plain English. These pages are maintained by The Cartoon Cafe and describe how the community portal actually works. They are general information, not legal advice. Questions go to the cafe through the Contact page.
The Cartoon Cafe operates this community portal from 515 N Broad Street, Fremont, NE 68025. This policy covers the portal at community.cartoon-cafe.com only — it does not cover what happens in the cafe itself, or on other websites we link to.
Effective August 4, 2026. Creating an account or using the portal means you accept this policy and the Terms & Community Guidelines.
Your email address and sign-in details, handled by our authentication provider. We never see or store your password.
Profile information you choose to enter: display name, handle, bio, play style, favourite game types, creative interests, social links, avatar and banner image.
Activity you create in the portal: sessions you host, sessions you join, favourited games, personal library entries, badges you earn and community responses you write.
Basic technical information needed to serve the site, such as your browser request details.
We only collect what the portal needs to run. We do not ask for payment card details, and no payments are taken through this site.
To create and secure your account, show your profile, run sessions and waitlists, award badges, and send you in-app notifications about sessions you host or join.
To keep the community safe: language filtering, moderation queues, and handling reports.
To keep the portal working: fixing errors and understanding which pages fail.
We do not use your information for advertising, we do not sell it, and we do not share it with anyone except the service providers listed below or where the law requires it.
Public: your display name, handle, avatar, banner, bio, play style, creative interests, social links, earned badges, personal library entries you have marked visible, sessions you host, and approved community responses.
Not public: your email address, your notifications, your unapproved or pending responses, personal library entries marked hidden, draft sessions, and anything in the staff Command Center.
Anyone on the internet — signed in or not — can view the public items above, including through the public calendar feed. Only session details already shown on public session pages appear in that feed; it never includes member names or emails.
Public pages may be indexed by search engines. Treat anything you mark public as permanently visible, and copyable by others.
Banner images you upload are stored in our file storage and are publicly readable by link, because they appear on your public profile. Only you (or cafe staff moderating content) can replace or delete your banner.
Do not upload anything you would not want visible publicly.
The portal stores your sign-in session and your light/dark theme choice in your browser. These are required for the site to work; without the session store you cannot stay signed in.
We run no advertising cookies, no cross-site trackers and no third-party analytics pixels on this portal.
Free-text fields pass through a community language filter. When a submission is blocked, a short excerpt of the blocked text is recorded for staff review so the filter can be tuned and repeat abuse can be handled.
Cafe staff can view moderation records, community responses, member lists and session registrations in order to run the community. Staff cannot see your password.
The portal is not intended for children under 13, and we do not knowingly create accounts for them. Younger visitors are welcome at the cafe and at sessions with a parent or guardian, but should not register here.
If you believe a child under 13 has created an account, contact us and we will remove it.
Account and profile information is kept while your account is open. Session history, registrations and approved community responses are kept as part of the cafe's event record.
Moderation records are kept for as long as needed to handle repeat issues, then cleared by staff.
When your account is deleted, we remove the items listed in the next section. Backups and logs may retain copies for a short period before they cycle out.
You can delete your own community responses, personal library entries, session registrations and sessions you host at any time from the portal.
For full account deletion, email the cafe using the contact details on the Contact page and ask for account deletion. Staff will remove your profile, uploaded banner, personal library, responses and registrations. Sessions you hosted that other members attended may be retained with your name removed so the event history stays intact.
Account deletion is currently staff-assisted; there is no self-serve delete button yet. We aim to action requests within 30 days.
You can also ask us for a copy of the information held about your account, or ask us to correct it. Most of it is editable yourself from Profile and Settings.
We use a hosted database, authentication and file storage provider to run the portal, and Google sign-in if you choose it. Game artwork and metadata may be fetched from public game databases.
These providers process information on our instructions so the portal can run. We do not sell your information, and we do not run advertising trackers on this portal.
The portal is hosted and operated in the United States. If you use it from elsewhere, your information is handled in the US.
Access to member data is controlled at the database level, so members can only read what is marked public plus their own records, and staff tools are role-restricted.
No online service can promise perfect security. If we become aware of a breach affecting your account information, we will notify affected members and act promptly.
If we change how the portal handles information, we will update this page and the 'last updated' date, and note significant changes on the portal.
